CourtServe is operated by Jeff Prince, an individual (sole proprietor) (“we”, “us”). This policy explains what information CourtServe collects from club members, how it is used, and how it is shared. By using CourtServe you agree to this policy and to our Terms & Conditions.
Information we collect
- Account information: your name, email address, and profile picture, received from our sign-in provider when you sign in.
- Mobile information: your mobile phone number, whether you opted in to SMS messages, and the date and time you gave that consent.
- Profile details: your NTRP rating and gender, used for team and clinic eligibility.
- Club activity: court reservations, clinic registrations, team rosters and lineups, match availability, and match scores.
- Assistant messages: messages you send to the in-app AI assistant and its replies.
- Contact form messages: the name, email address, club name, court count, and message you send through the contact form on our home page.
- Usage and device information: pages you visit, buttons you click, how the app performs, errors you run into, and your browser and device type. This includes recordings of how you move through the app; text you type into form fields is not recorded. A first-party cookie (
_bs) groups one visit’s activity.
How we use your information
- To sign you in and operate your club account.
- To book courts, run clinics, and organize teams, lineups, and matches.
- To send match-availability text messages and confirmations if you opted in to CourtServe match texts, and to process your replies (Y/N/M, STOP, HELP, START).
- To send transactional emails such as invitations and account notices.
- To answer your questions through the in-app AI assistant.
- To reply to messages you send through the contact form.
- To keep CourtServe running reliably, fix errors, and learn which features clubs use and where the app is hard to use.
We do not sell your personal information, and we do not use it for advertising.
Service providers
We share information only with the service providers that run CourtServe on our behalf, and only as needed to provide the service:
- WorkOS — authentication and sign-in.
- Twilio — delivering SMS text messages.
- Postmark — delivering transactional email.
- Anthropic — processing AI-assistant chat messages to answer them.
- Render — application hosting and database.
- Better Stack — uptime monitoring, error reports, and usage analytics, including session recordings with form fields left out.
We may also disclose information if required by law or to protect the safety of our members.
SMS and mobile information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile phone numbers, SMS opt-in data, and consent will not be shared with or sold to any third parties or affiliates. Your mobile number is provided to our SMS provider (Twilio) solely to deliver the messages you opted in to receive.
Members opt in to CourtServe match texts on their Profile page (see how members opt in). Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP to any message or by turning off SMS on your Profile page. Reply HELP for help. See the SMS section of our Terms & Conditions for details.
Retention and your choices
We keep your information while you are a club member. You can update your mobile number, SMS preference, and profile details on your Profile page at any time. To request access to or deletion of your information, email support@courtserve.app.
Security
We use reasonable safeguards, including encrypted connections and access controls, to protect your information. No system is perfectly secure.
